Volunteer Coordinator

Head of Department (HoD) – Media Department

ROLES & RESPONSIBILITIES

1. Purpose of the Role

The Head of Media (HoD) is responsible for providing spiritual, strategic, operational and technical leadership to the Media Department.

The HoD ensures that the Media Department effectively supports the vision and activities of TREM Heritage Hub Stratford through media, technology, communications, creativity and digital engagement.

The HoD is ultimately responsible for ensuring that the Media Department is well-led, well-organised, adequately equipped, properly trained and consistently delivering with excellence.

2. Key Areas of Responsibility

A. Leadership & Governance

The HoD

  • Provides overall leadership and direction for the Media Department.
  • Develops the department's vision, objectives and annual priorities.
  • Ensures the department operates in alignment with the vision and values of TREM.
  • Establish clear roles, responsibilities and reporting lines within the Media Team.
  • Set appropriate standards for conduct, service and performance.
  • Maintains accountability across the department.
  • Provides regular updates to church leadership on media activities, challenges and opportunities.
  • Represents the Media Department at relevant leadership meetings.
  • Ensures appropriate policies, procedures and standards are established and followed.

3. Team Management & Volunteer Development

The HoD

  • Recruits and onboard new Media Team volunteers.
  • Identifies people's skills, interests and areas of potential.
  • Assigns team members to appropriate media functions.
  • Develops team leads and future media leaders.
  • Establishes an effective service and event rota.
  • Conduct regular team meetings.
  • Organises training and development sessions.
  • Provide coaching, mentoring and constructive feedback.
  • Recognises and appreciate team members.
  • Addresses performance, conduct or team issues appropriately.
  • Builds a positive culture of teamwork, ownership, accountability and service.

5. Service & Live Production

The HoD is responsible for ensuring that media support is available for:

  • Sunday services.
  • Midweek services.
  • Prayer meetings.
  • Conferences.
  • Special services.
  • Church programmes.
  • Outreach activities.
  • Community events.
  • Other church-approved activities.

The HoD oversees:

  • Camera operations.
  • Live video production.
  • vMix or equivalent production systems.
  • Livestreaming.
  • Audio and sound.
  • EasyWorship/presentation systems.
  • Visual displays.
  • Recording.
  • Lighting where applicable.
  • Service-day technical support.
  • Ensures that appropriate pre-service checks, rehearsals, service procedures and post-service processes are followed.

6. Media Planning & Event Support

HoD ensures

  • Media requirements are identified.
  • The appropriate resources are allocated.
  • Team members are assigned.
  • Equipment requirements are confirmed.
  • Technical checks are completed.
  • Production plans are communicated.
  • Contingency arrangements are considered.
  • Media delivery is monitored during the event.
  • Content is appropriately stored and archived.
  • A post-event review is conducted where appropriate.

7. Digital Media & Content

The HoD provides oversight of the church's digital media activities, including:

  • Social media content.
  • YouTube and livestream content.
  • Promotional videos.
  • Event highlights.
  • Photography.
  • Videography.
  • Video editing.
  • Graphics.
  • Digital announcements.
  • Testimonies and stories.
  • Online engagement.

The HoD ensures that published content is:

  • Accurate.
  • Appropriate.
  • Consistent with the church's values.
  • Professionally presented.
  • Approved where required.
  • Published within agreed timelines.

8. Branding & Visual Identity

Protects and maintains the visual identity of TREM Heritage Hub Stratford.

Responsibilities include:

  • Ensuring consistent use of church branding.
  • Maintaining appropriate design standards.
  • Reviewing graphics and promotional materials.
  • Ensuring appropriate use of logos, fonts and imagery.
  • Supporting ministry departments with media and promotional requirements.
  • Ensuring public-facing content reflects the church appropriately.

10. Process & Documentation

The HoD will ensure that the department has documented processes for key activities. These may include:
